About the role
This is a dual-purpose role. As EA you will be the Directors primary point of contact for clients and the internal team; and provide “first class” administrative support to the Directors.
Your key responsibilities will include:
- Diary management including daily to-do-lists, schedules, appointments, and meetings.
- Coordinate the Directors’ travel arrangements, accommodations, and itineraries.
- Responding to phone and email messages, typing emails, announcements, reports, and mail processing.
- Conducting research, accessing internal and external documentations, and attending meetings.
- Other administrative tasks as required such as document preparation, proofreading, and filing.
As the Trust Services Administrator you will be responsible for:
- Coordinate and prepare documents for Annual Trustee Meeting.
- Record beneficiary disclosures annually.
- Manage beneficiary requests for information.
- Collaborate with Trust client lawyers on documentation.
- Maintain Trust signed documents in our internal systems.
- Review trustee resolutions and notes for Trust Financial Statements compliance with Trust Act 2019 annually.
- Support accounting teams in ensuring compliance with Trust Deed and Trust Act requirements.
About you
We’re looking for someone who is positive, friendly and has a willing attitude, with a high attention to detail. This will ideally suit someone who is driven, flexible, and happy to work as part of a team.
You will also bring a minimum of 3 years experience as a EA/PA with expertise in the following:
- Advanced computer skills in Accounting Software like Xero and Microsoft Office suite, especially Excel and Word.
- The ability to show initiative, be proactive and prioritise work.
- Previous Legal Executive experience in Trust procedures is an advantage
- Direct confident communication with clients regarding their business requirements
